COVID-19 Response

UW-Madison, Division of Extension is responding to the COVID-19 pandemic for the StrongBodies programs. Below is information for Current Leaders.

Response

As a result of the Governor’s “Safer at Home” order, over 5,000 participants have lost access to their local in-person StrongBodies programming. To respond, Extension has developed a virtual adaptation of the program so participants can maintain their strength and stay socially connected with their peers and leaders. After piloting the program with previous participants, Extension has expanded the program to allow for new participants as well. 

The virtual adaptation requires leaders to undergo additional training to ensure the necessary skills and capacity to facilitate these classes in a virtual setting. In addition, Extension is providing leaders with additional programming and encouraging leaders to allow participants to stay in the virtual training room (via the Zoom platform) after each session to allow for socialization. Currently, over 2,000 participants across Wisconsin are actively enrolled in the virtual adaptation of the StrongBodies program.

 

Steps for Virtual Programming for All Leaders

Virtual StrongBodies classes can be offered to current, past, and new participants.

Steps to offer a virtual program:

  1. Contact Angela Flickinger (angela.flickinger@wisc.edu) to complete the required training (fidelity check, technology check, registration, enrollment, consent and reporting forms)
  2. Make sure your information is updated on this StrongBodies Virtual Class Form
  3. Create and send out SB registration Form (Extension employees should open or create a Qualtrics account and then request a copy of the virtual enrollment form from Christine.holm@wisc.edu.Then edit the copy to be applicable to your location; Non-Extension employees should create their own online registration form)
  4. Create Zoom link for your class
  5. Recruit Participants.
  6. Send out email confirmation (Sample below)

Reminders for class:

  • You need a steady chair. It should not have wheels and preferably does not have arms.
  • Please have a water bottle near you.
  • You will need hand & ankle weights (if you have them)
  • You will be muted upon entry into the Zoom and we will assist with technology hiccups the first session

 

  1. (NEW PARTICIPANTS ONLY; never participated in StrongBodies) Complete a Pre-Senior Fitness Test. Set up 1-2 sessions as needed to go through the series of 12 exercises to ensure proper form and technique. This is important for injury prevention and maximum benefit.
  2. Have a StrongBodies lead conduct a Fidelity Check on your program.
  3. Have participants fill out the Virtual StrongBodies Participation Evaluation Survey after they complete your program

  1. Requirement for FoodWIse Educators to offer new Virtual StrongBodies programs:
    • At least 3 eligible participants (i.e., meet income eligibility)
  2. Confirm new class with flickinger@wisc.edu
  3. If you are recruiting for a new class with new participants, use this LINK (includes demographics, liability, risk, physical activity pre-assessment) (or HERE for a PDF version)
    • Each educator makes up code that they give to their participants to register (COUNTY-EDUCATOR LAST NAME)
  1. You will be able to go into Qualtrics and get the list of FoodWIse eligible participants.
  2. Create Zoom link for class
  3. Recruit Participants. Efforts should be focused on FoodWIse eligible participants.

  3. Keep attendance for each class of SNAP-Ed eligible participants. FoodWIse will only report on those participants who meet eligibility criteria.

  6. Reporting-
    • Enter FoodWIse eligible participants into PEARS:FoodWIse educators/coordinators are responsible for tracking the attendance of the eligible participants over the course of the series so that we can report on these participants in PEARS. This could be done by a co-pilot during the Zoom session by scanning the list of participants. Report class participants into PEARS
    • Enter pre- and post- physical activity and post-nutrition into PEARS from the Qualtrics Post Evaluation
  7. You may share FW equipment if your participants are in the need of hand or ankle weights and you have equipment available in your county.
    • Contact your nutrition coordinator to assess availability of equipment.
    • Delivery – submit a program checklist request through the COVID-19 Program Planning Checklist Approval Workflow to indicate how you plan to deliver the equipment (i.e., directly to participants, to a partner agency, participant will pick up at the county Extension office). Indicate Kathryn in the Institute Director approval field. 
    • Complete details of equipment loan agreement and obtain signature from participant upon delivery/pick-up: Equipment Loan Agreement Form.
    • For the eTER, submit a copy of the approval of the program planning checklist as supporting documentation for mileage reimbursement for the delivery (along with other required documentation such as maps).
    • Other options include reaching out to your local aging unit (ADRC). They can use TItle IIID funds for StrongBodies equipment and loan it out. Reach out to your local ADRC to discuss this possibility,

Steps & Requirements for In-Person Programs

Current In-person StrongBodies Recommendations:

We know that many StrongBodies leaders and participants are eager to gather together again to learn and share. We at Extension share those feelings, and as the license holders for the StrongBodies in the State of Wisconsin, we’d like to share some information about how we’re handling in-person StrongBodies programming.

Keeping the health of everyone in our community in mind, we’re approaching our programming with intentional steps. These steps follow CDC, Wisconsin Department of Health Services, and UW-Madison guidance. These requirements are in place to limit the spread of COVID-19 and in recognition of risk for severe illness.

In-person StrongBodies programming will be considered under the following conditions:

  • Outdoor or indoor events with group size limited to 10 people or less
  • Physical distancing of greater than 8 feet
  • Participant use of personal equipment, including exercise mat, weights, water bottle, towel, etc. If the equipment is stored at the location of the class, keep participants’ equipment separated and not assessable to others.
  • Indoors: Required face-covering to be worn at all times. (if participants feel like they are having a hard time catching their breath, they can temporarily lift their mask.)
  • Outdoors: Required face-covering to be worn before and after class
  • Do not enter class if you have been exposed to COVID-19 or have any symptoms of any illness
  • Disinfect chairs before and after class

You do NOT need to submit a request for approval to hold in-person StrongBodies programs for less than 10 people. For programs greater than 10 participants, submit a request for approval.

Steps for Returning to In-Person Classes:

  1. View the Program Planning COVID Checklist and follow all guidelines
  2. Ensure the site is suitable for an in-person program
    1. ○ Location with space appropriate to conduct group exercise and mini lessons for 8-15 participants with wheel-less chairs.
      ○ Space reserved for 8-12 weeks, 2 times/week on non-consecutive days for 1.5 hours each time (teaching time is 60 min. for StrongBodies, 20 min. nutrition education)
      ○ Participants are interested in participating in the entire length of the program.
  3. Schedule your workshop. Make sure to update the StrongBodies Map.
  4. Recruit participants (ideal class size 8-15)
  5. Participants complete registration forms (Welcome Packet)
  6. Communicate with all participants the COVID practices, as outlined in the program planning checklist:
    1. • PPE Equipment
      • Staggering of arrival time
      • Social distancing at all times for those not living in the same household
      • Participant sanitation upon entry and exit
      • Sanitation of all equipment prior to and after class by instructor- or asking participants to bring own equipment
      • Pre-class symptoms check by instructor/volunteer
      Plans to be notified of canceled class, if needed.
  7. Hold classes with proper COVID plans (Set up in circle if possible)
  8. Complete post-class evaluations at completion.

ALL UNIVERSITY OF WISCONSIN StrongBodies leaders (Extension Educators and Extension Volunteers):

  • We have continued to refine our approval process for in-person programs as we receive feedback and suggestions from you.  We recently added minor clarifications and additions to the Program Approval Checklist. Please use the updated version moving forward.
  • We also created a companion guidance document with additional context while completing the checklist. The document clarifies current operating guidelines, including the process for approval of recurring meetings, allowance for multiple 10 person subgroups at an outdoor location (for a maximum of 50 persons total), and completion of the form when partnering with another organization’s participants.  Continue to work with your supervisors and Institute directors when you have questions or concerns.
